How do I secure my spot?
Reserve your spot — $500 deposit (fully refundable). Pay $500 to hold your place. This deposit stays fully refundable until we confirm the tour has reached its minimum numbers.
Confirmation milestone — deposit becomes non-refundable. Once minimum numbers are confirmed, your original $500 automatically becomes non-refundable and is applied to your total.
Four payments in total
Payment 1: $500 deposit
Payment 2: $1,500 - dates to be advised.
Payments 3 & 4: Each 50% of the remaining - dates to be advised.
What payment methods do you accept? We accept major cards and approved payment plans via checkout. You can also choose bank transfer using our “Manual Payment” option.
Can I transfer my booking to someone else? Usually yes—within airline/hotel rules and our timelines. Name-change fees may apply. Contact us and we’ll help.
What is our cancellation policy? Cancellation windows vary by tour and supplier. Earlier changes typically attract lower fees. Check your tour’s T&Cs for the exact dates and options.
What if we need to adjust the itinerary? Safety, weather, and supplier availability can require changes. If a significant change occurs, we’ll let you know your options—alternative services, credits, or refunds as outlined in our T&Cs and applicable consumer laws.
How do my Australian Consumer Law rights apply? Your ACL rights sit alongside our T&Cs. If something isn’t supplied as expected, talk to us and we’ll make it right in line with the law.
Do I need travel insurance? Yes—comprehensive insurance is strongly recommended (and sometimes required). Please bring a copy of your policy details with you on tour.
Do I need a visa or any vaccinations? Requirements vary by nationality and destination. It’s your responsibility to check official advice and arrange visas/health clearances before travel.
How long should my passport be valid? Many countries require at least 6 months’ validity beyond your return date. Please verify for your destination.
What’s included? Your tour page lists the inclusions—accommodation, entry fees to events, entry fees to big city attractions, guided tour fees, leader directed sessions, exclusive tour apparel, group meals, daily breakfast and ground transport. If it’s listed, it’s included.
What’s not included?
Flights
ESTA (Electronic System for Travel Authorization) fee and any visa fees.
Most meals and drinks.
Local transport fares.
Tips, personal purchases and optional extras.
Travel insurance (mandatory).
How big are the groups? We design for small to medium groups to keep things smooth, social and high quality.
Is there a minimum age? Unless noted otherwise, our tours are for adults (18+).
Do I need a certain fitness level? Most days involve walking, stairs and standing.
What we book
We secure quality, well located standard rooms that suit the itinerary and group logistics.
Room types & bedding
Twin share is the default unless you request a single room (please contact Advancement Tours for assistance. Extra fees apply.
Upgrades
We book standard accommodation only; if you’d like an upgrade (please contact Advancement Tours for assistance. Extra fees apply).
Check-in/out & early access
Hotel check-in/out times vary. Early check-in/late check-out is at the hotel’s discretion and may attract extra charges.
Incidentals & fees
Mini-bar, room service, laundry, resort/city fees, damage charges and security deposits are your responsibility and are payable directly to the property.
Accessibility & special requests
Tell us early about accessibility needs or preferences (quiet floor, adjacent rooms, etc.) and we’ll pass them to the hotel. All requests remain subject to availability.
Rooming for solo travellers
Travelling solo? Choose twin share (we’ll try to match you with a same gender traveller) or select a single room (please contact Advancement Tours for assistance. Extra fees apply).
Daily tour leadership and support
WhatsApp day cards (times, maps, live updates, emergency contact).
Headcounts at start/mid/end of major blocks; fixed AM/PM meet points.
Basic first aid kit carried by leaders; incident logging.
How much luggage can I bring? Follow your airline’s rules first. On the ground, we recommend one suitcase (around 20–23 kg) plus a small day pack to keep the group moving efficiently.
What should I pack? Pack light, versatile layers for the season, comfortable walking shoes, and your travel documents.
Will I have Wi-Fi? Most hotels include Wi-Fi. If you need reliable data on the go, consider an eSIM or roaming plan.
Is the tour accessible? Many activities involve walking, stairs or uneven surfaces. Share your needs before booking and we’ll advise on suitability and available adjustments.
How do you manage health and safety? Your safety comes first. We follow local regulations and supplier standards, monitor conditions, and adjust plans if needed.
Who leads the tour? Your professional tour leader/host manages logistics, timings and experiences. Local specialists join where they add value.
Are tips included? This depends on the destination and supplier. If applicable we’ll note it on your tour page.
Can I skip activities or add extras? Core inclusions run as a group. Optional extras may be available—ask your leader. Weather and demand can affect availability.
When do I receive my final documents? We release final documents via email and/or pre departure webinars - after full payment and once minimum numbers are met. You’ll get timings, contacts and key information in one place.
Do you provide a pre departure checklist? Yes—you’ll receive a simple, destination specific checklist and key reminders.

Who do I contact before or during the tour?
Before departure, you’ll have our office contacts. On tour, you’ll have an emergency support number. We’re with you from first enquiry to safe return.
